Getting Started

Welcome to PressTrack — the digital press job and ink batch recording system built from the pressroom up. This manual covers everything you need to get up and running and get the most from every feature.

What is PressTrack?

PressTrack replaces paper job sheets and manual batch record-keeping with a permanent, searchable cloud database. Every print run you record is stored securely in your account and accessible from any device.

Your First Record

  1. Sign in Go to inkroomsolutions.com and log in. Your 14-day trial gives full access from day one — no card required.
  2. Open PressTrack Click PressTrack from your dashboard or the navigation bar.
  3. Fill in Job Details The date auto-fills to today. Add your job number, job name, printer name and press.
  4. Add your colours Search for each ink by Pantone number or name, then enter the batch number from the tin.
  5. Save the record Click Save Record — your job is stored instantly in the cloud.

Best practice PressTrack is optimised for desktop and laptop use at the press console. On mobile, use it to look up records and scan batch barcodes with the camera scanner.

Chapter 02

The Job Form

The Job Form is where you record every print run. Fill it in as jobs go on press for the most accurate and complete records.

Navigation Controls

The arrow buttons at the top of the form let you move through all your saved records without leaving the form. The counter shows your current position — for example 47 / 312 means record 47 of 312 total.

Saving and Editing

Click Save Record to save the current form. Saving an existing record updates it. Saving a blank form creates a new entry. To edit any record, navigate to it using the arrows, make your changes, and click Save Record.

Deleting Records The Delete button permanently removes the current record. This cannot be undone — be certain before clicking.

Notes Field

The Notes field at the bottom of the form is free-text — use it for special instructions, quality observations, re-run reasons, or anything that doesn't fit the standard fields. Notes are fully searchable.

Chapter 03

Colours & Inks

PressTrack records up to 9 colour units per job. Each unit captures the ink name, batch numbers, and volumes issued and returned.

Entering a Colour

  1. Click the colour name field on any unit and start typing the Pantone number or ink name.
  2. Select from the dropdown — the colour card's background updates to show the correct colour visually.
  3. Enter the batch number — type it in, plug in a USB barcode scanner, or tap the green Scan button on mobile.
  4. Record volumes — enter kilograms issued and used if your facility tracks ink consumption.

Visual check The entire colour card changes background to match the selected Pantone ink — making it easy to spot an incorrect entry at a glance in a busy pressroom.

Process Colour Quick-Select

The four process chips at the bottom of each colour card (C, M, Y, K) let you instantly apply Cyan, Magenta, Yellow or Black without searching. Click a chip to apply it to that unit.

Multiple Batches Per Colour

If a job used more than one batch of the same ink — for example if you changed tins mid-run — click + Add batch to add another batch line to that unit. Each line is stored separately and every one is fully searchable.

Chapter 04

Pantone Library

PressTrack includes over 1,000 Pantone Coated colours. Search by number or name for instant colour identification without leaving the form.

Searching the Library

Start typing in any colour name field and the dropdown appears automatically. You can search by:

  • Number — type 485 to find PANTONE 485 C immediately
  • Partial number — type 18 to browse all colours starting with 18
  • Name — type cyan, warm red or reflex blue
  • Process — type process to see all four CMYK process colours

Smart Ranking Results are ranked by relevance — exact number matches appear first, then partial matches, then name matches.

C and U Shade Toggle

When you select a Pantone colour, a C/U toggle appears below the name. Use this to record whether you used the Coated (C) or Uncoated (U) variant — important for accurate colour matching records.

Custom and Non-Pantone Inks

If your ink is not in the library — a house mix, proprietary brand colour, or non-standard formulation — type the name directly without selecting from the dropdown. It is recorded exactly as typed and the card swatch remains neutral grey.

Colour Accuracy Colour swatches are screen approximations for identification purposes only. They are not suitable for colour-matching decisions.
Chapter 05

Barcode Scanning New

PressTrack supports two barcode scanning methods for fast, error-free batch number entry — a USB scanner for desktop and a live camera scanner for mobile.

USB Barcode Scanner — Desktop

Any standard USB barcode scanner works with PressTrack on desktop. No setup or drivers required.

  1. Plug in your scanner — no configuration needed, it works like a keyboard.
  2. Click into a Batch Number field to place your cursor there.
  3. Scan the barcode on the ink tin — the batch number fills in instantly.
  4. PressTrack auto-advances to the next batch field, ready for your next scan.
Auto-advance The auto-advance feature lets you scan an entire press run's batch numbers in seconds — just scan one tin after another without clicking anything between them.

Camera Scanner — Mobile Mobile

On any mobile device, use your phone's camera to scan barcodes directly from the ink tin without typing a single character.

  1. Tap the green Scan button next to any batch number field.
  2. Allow camera access when your browser asks — this prompt only appears the first time.
  3. Point the camera at the barcode on the ink tin — hold it steady about 15–20cm away.
  4. The batch number detects and fills in automatically — no button press needed once the barcode is read.

Back camera PressTrack automatically selects your phone's rear camera for the best scanning results. Good lighting improves detection speed.

Supported Barcode Formats

Resetting Camera Permission If you denied camera access, reset it in your browser. Chrome on Android: Settings → Site Settings → Camera. Safari on iPhone: Settings → Safari → Camera → Allow.
Chapter 06

Coatings

PressTrack records up to two coatings per job, capturing the coating name and its batch reference for complete end-to-end traceability.

Why Record Coating Batches?

Coating faults — adhesion failures, delamination, surface defects — can often be traced to a specific batch of coating material. Recording the batch number at the time of printing means that if a quality issue is raised days or weeks later, you can immediately identify every job that used that batch and take targeted action.

Chapter 07

Records & Navigation

Every job you save is stored permanently in your account and accessible from any device at any time.

How Records Are Stored

  • Saved instantly to the cloud the moment you click Save Record
  • Accessible from any device you are logged in on
  • Completely private — no other user can see or access your records
  • Retained even if your subscription lapses — your data is always yours

The Record Badge

The badge next to the form title shows whether you are viewing a saved record (e.g. #47) or creating a new one (New Record). It updates automatically as you navigate.

Searching is faster For finding a specific past job, use the Records & Search tab rather than navigating record by record — it's much quicker for large datasets.

Search & Traceability

The Records & Search tab is your traceability command centre. Find any job in seconds and trace any batch number across your complete history.

All search fields work simultaneously — combine them to narrow results. Results update instantly as you type with no search button required.

Batch Traceability

The Batch Reference field is your most powerful quality investigation tool. Type or scan a batch number to instantly see every job that used that batch — the date it ran, which press, who printed it, and how many sheets.

Quality Investigation Workflow A coating fault is reported by a customer. Search the batch number → identify all affected jobs in seconds → check dates, quantities and presses → escalate or contact customers as needed. What used to take hours of manual searching takes seconds.

Opening and Sorting Results

Click any column header to sort results by that field — click again to reverse the sort. Click any result row, or the Open ↗ button, to load that record into the Job Form for viewing, editing or PDF export.

Chapter 09

PDF & Excel Export

PressTrack produces print-ready PDF job sheets and comprehensive Excel exports for reporting, filing and quality auditing.

PDF Job Sheet

A formatted single-page document showing the complete details of one print run — designed for printing, signing off and physical filing.

  1. Fill in the Job Form with all job details, colours and batch numbers.
  2. Click Save Record & Produce PDF at the bottom of the form.
  3. The record saves and the PDF opens in a new browser tab, ready to print or save.

You can also produce a PDF for any existing saved record — navigate to it using the arrows and click Save Record & Produce PDF.

Multi-Record PDF Report

From the Records & Search tab, click Export PDF to produce a report of all current search results — useful for audit packs, quality investigations and customer documentation.

Excel Export

Click Export Excel to download all current search results as an Excel file. The file contains two worksheets:

Export everything To export your complete record history, clear all search filters first. Export Excel will then capture every job you have ever saved.
Chapter 10

Backup & Data

Your records are always stored in the cloud. PressTrack also supports local Excel backups for an extra layer of peace of mind.

Cloud Storage

All your records are automatically saved to a secure cloud database the moment you click Save Record. There is nothing to configure — your data is always there and accessible from any logged-in device.

Manual Backup

  1. Open the Settings tab in PressTrack.
  2. Click Back Up Now.
  3. An Excel file downloads to your computer containing all your records.
  4. Save it to your network drive or a shared quality folder for safekeeping.

Your Data Belongs to You

All records you create belong entirely to you. PressTrack does not use your job data for any purpose other than providing the service to you. If you cancel your subscription your data is retained and accessible again the moment you resubscribe. See our Privacy Policy for full details.

Clear All Data The Clear All Data button in Settings permanently deletes every record in your account. This absolutely cannot be undone. Always download a full backup immediately before using this function.
Chapter 11

Settings

The Settings tab lets you configure backup preferences, manage your data, and access the in-app user manual.

Backup Status Panel

Shows when your last backup was taken, when the next one is due according to your settings, how many records were included in the last backup, and your saved backup folder path.

Data Management

  • Export All Records (Excel) — downloads your complete record history as a formatted Excel file
  • Back Up Now — takes an immediate backup regardless of your schedule
  • Clear All Data — permanently and irreversibly deletes all records. Requires double confirmation. Cannot be undone under any circumstances.
Chapter 12

Security & Privacy

PressTrack is built with security as a core requirement. Your job data is private, encrypted and architecturally isolated from every other user.

Data Isolation

Every user's records are stored with row-level security enforced at the database level — not just the application layer. This makes it architecturally impossible for another user to access your records, even in the unlikely event of an application bug.

Encryption and Security Measures

  • All data is transmitted over HTTPS — every connection is encrypted without exception
  • Passwords are hashed using bcrypt — they are never stored in plain text
  • Payment card details are handled entirely by Stripe and never reach InkRoom servers
  • API keys and credentials are stored as server environment variables — never in source code
